Your responsibilities
- Get to know the e-signing tool, act as the contact point for certain groups’ e-signing requests, train users designated by other groups on how to manage e-signing needs in line with applicable guidelines, monitor future upgrades to the tool, and follow up on potential issues with the provider, IT, and Sourcing;
- When documents must be signed wet-ink, arrange for such signing and the shipping of the signed originals;
- Support, and progressively learn from, the Europe Paralegal & Data Protection Specialist in a range of corporate housekeeping and paralegal matters, including: (i) maintaining physical corporate records kept in the Brussels office, (ii) maintaining the Europe KYC Portal, including access rights, uploads, and related processes, and assisting Treasury with KYC processes, (iii) uploading documents to the subsidiary management database, (iv) replicating certain corporate documents, such as delegations of powers, and (v) preparing intercompany agreements and monitoring the intercompany agreements spreadsheet and SharePoint site;
- Support the Sylvamo Ethics & Compliance Office in reviewing employees’ internal disclosures, including those relating to conflicts of interest, competitor information, and business courtesies, in line with its guidance materials for responses;
- Be responsible for tracking legal invoices and fees against the annual legal budget and reporting the status to the team;
- Help the Legal team explore expanded uses of Teams features, AI Copilot, and other digital technologies to further streamline processes and improve efficiency;
- Organize meetings of the Europe Legal team, including agenda coordination, invitations, etc., and assist the General Counsel Europe with travel-related issues for offsite meetings;
- Help organize e-trainings and face-to-face trainings in Europe, including launch, reminders, attendance tracking, statistics, etc., and assist with the preparation of slides for those trainings and the deployment of related communication materials, if any;
- Coordinate for translations (AI or external) and the internal review thereof;
- Assist for the formatting of documents (contracts, presentations, letters, etc.).
Our requirements
- Availability to work part-time (0.5 FTE)
- Excellent English language verbal and written communication skills;
- Self-motivated, self-directed, able to prioritize workload and to work both independently and as a member of a team, while at the same time knowing when to seek advice from your manager or more senior colleagues;
- Extremely well organized in building and monitoring planning and checklists;
- Meticulous attention to detail in documents, data and processes;
- Ability to build nice and smooth relationships with internal customers and be at ease making phone calls or video calls as useful to understand and complete tasks;
- Flexibility is essential, as roles provide support across all businesses;
- Strong level of computer literacy and willingness to learn new technologies;

Zajmiesz się też dokumentami, które trzeba podpisać tradycyjnie, oraz wsparciem w różnych zadaniach prawnych i administracyjnych, takich jak prowadzenie rejestrów czy przygotowywanie umów.
Pracujesz na pół etatu i musisz dobrze znać angielski. Ważne, byś potrafił samodzielnie planować pracę i współpracować z zespołem. Musisz być dokładny, dobrze organizować zadania i łatwo nawiązywać kontakty z innymi. Przyda się też chęć do nauki nowych programów i elastyczność w działaniu.
Będziesz pomagać w organizacji spotkań i szkoleń, a także w tłumaczeniach i formatowaniu dokumentów.
