Your responsibilities
- Act as a contact person for our employees (around 350 professionals) and interns in all HR-related issues via email or chat, face to face or over the phone – we don’t use ticketing systems.
- Provide HR expertise in Polish Labor Law, time and attendance, internal policies and Payroll-related matters to our Employees and Managers (including Managers from abroad who have direct reports in Poland). Learn about and adapt to team-specific needs (e.g., task-based working schedule, remote work, etc.) to propose the best solutions.
- Coordinate the flow of HR documentation (e.g., connected with full cycle of employment and occupational medicine examinations) by preparing and distributing appropriate documents, and making sure our Employees understand what is required of them.
- Coordinate Payroll calculation by providing and verifying data for Poland and ensuring proper month-end Payroll activities execution (incl. accounting files, employee capital plans and benefits payments).
- Maintain basic HR data in Ceridian Dayforce and ensure alignment with local Payroll and Time & Attendance system (unit4 Teta).
- Ensure compliance with internal policies and Polish laws, by staying up to date with regulatory changes and Supreme Court, State Labor Inspection, and Social Security rulings/interpretations.
- Provide regular and ad hoc HR reports for Managers and Business Partners.
- Cooperate with the Finance teams (Accounting, Treasury, etc.) to ensure correct ZUS/US/bailiff payments and postings of expenses, and to provide GUS data.
- Coordinate work & stay permits for our Employees by cooperating with a vendor.
- Cooperate with the Social Fund and the global Compensation & Benefits teams, as well as external benefits providers to ensure proper benefits availability and billing.
- Participate in local, regional, and global HR projects & initiatives, including providing HR trainings to New Hires and Managers.
- Ensure a positive experience for both internal and external stakeholders, by delivering high-quality work, building relationships, and being trustworthy.
Our requirements
- Min. 3 years of experience in HR Administration
- Current knowledge of and min. 1 year of experience in Polish Payroll process
- University degree in HR-related area and/or relevant courses
- Ability to work mostly onsite from our office in Kraków and to take on a 15-18 months' assignment
- Current knowledge of Polish Labor Law
- Fluency in Polish and English (written and spoken)
- Experience in working with MS Office (esp. Outlook and Excel)
- Attention to details, accuracy, and good work organization
- Curiosity to learn, adaptability, and solution-oriented mindset
- Excellent interpersonal and communication skills, and positive attitude
- Ability to handle sensitive data
Optional
- Experience with unit4 Teta and/or Ceridian Dayforce (will be beneficial)
- Knowledge of Polish Immigration Law (will be beneficial)

Wymagamy od ciebie co najmniej trzech lat pracy w kadrach i znajomości polskiego prawa pracy oraz procesu płacowego. Musisz znać dobrze polski i angielski oraz umieć pracować w programach MS Office. Ważne są dokładność, dobra organizacja pracy i umiejętność pracy w zespole. Praca będzie głównie w biurze w Krakowie przez około 15-18 miesięcy.
